How to Choose the Right Exhibition Stand for Your Next Dubai Event

Whether you are organising a trade show booth, a corporate activation, a product launch, or a government exhibition in Dubai, one decision shapes everything else: the exhibition stand. Choose wrong and you blend into the background. Choose right and your booth becomes the centrepiece of the hall.

After 18 years building exhibition stands across Dubai, Sharjah, Abu Dhabi, and the wider UAE, we have seen every type of stand succeed and fail. This guide gives you the practical framework to choose the right one for your next event.

1. Know Your Stand Types Before You Decide

There is no single best exhibition stand – only the best stand for your specific brief. Here are the five main types used at Dubai events:

Shell Scheme Stands

Pre-built modular frames provided by the event organiser. You bring your own graphics panels and furniture. Best for: First-time exhibitors, tight budgets, or small floor spaces (9-18 sqm). Limitation: Every booth looks the same until you add strong graphics.

Modular Exhibition Stands

Reusable aluminium frame systems with interchangeable panels. Can be reconfigured between events. Best for: Companies exhibiting 3-4 times per year. Popular at: GITEX, Gulfood, Arab Health, Big 5.

Custom-Built Stands

Fully designed and built from scratch – unique shape, built-in AV, product display zones, meeting rooms. Best for: Anchor exhibitors, product launches, brand flagship booths. Floor space: Typically 36 sqm and above.

Fabric Tension Structures

Lightweight aluminium frames wrapped in printed fabric. Vibrant colours, fast setup, easy transport. Best for: Backdrops, pop-up displays, branded photo walls, and smaller activations at malls or outdoor events across Dubai.

Double-Deck Stands

Two-level structures that maximise your floor space by building upward. Best for: Companies wanting a private meeting room above and display space below. Requires structural approval from the venue.

2. Define Your Budget Realistically

Exhibition stand budgets in Dubai typically break into three tiers:

  • AED 3,000 – 8,000: Shell scheme graphics, fabric backdrop, basic modular display
  • AED 8,000 – 25,000: Mid-range modular stand with custom graphics, lighting, and branded furniture
  • AED 25,000 – 100,000+: Full custom-built stand with unique architecture, AV integration, and on-site installation team

One mistake we frequently see: companies allocate the entire budget to stand construction and leave nothing for graphics. A beautifully built stand with weak visuals still loses. Budget at least 20-30% for print and graphics production.

3. Match the Stand to the Event Format

Dubai hosts a diverse calendar of exhibitions – and each has different requirements:

  • GITEX Technology Week (DWTC): High-footfall, tech-focused. Modular or custom stands with LED screens perform best.
  • Gulfood (DWTC): F&B sector. Stands need product display areas, sampling zones, refrigeration.
  • Arab Health (DWTC): Medical and healthcare. Clean whites, professional finish, private consultation areas.
  • The Big 5 (DWTC): Construction and building. Heavy-duty displays, material samples, demo areas.
  • Mall activations: Fabric pop-ups, freestanding banners, branded kiosks. Lightweight and fast to set up.
  • Outdoor events and road shows: Gazebos, printed canopy tents, teardrop flags, fabric walls.

4. Consider Setup, Breakdown, and Storage

An overlooked factor: what happens after the event?

A custom one-time build may look spectacular but ends up scrapped after a 3-day show. If you exhibit regularly, a modular system that packs down into crates and stores in a small warehouse space is far more cost-effective over 3-5 events.

At Efficient Advertising, we offer stand storage between events for modular systems we build – so you are not paying for warehouse space yourself.

5. Brief Your Stand Builder Correctly

A good brief saves weeks of revision. When you contact a stand builder in Dubai, have these answers ready:

  • Event name, venue, and dates
  • Floor space dimensions (length x width) and whether it is a corner, inline, or island plot
  • Number of staff manning the stand
  • Products or services to be displayed
  • Whether you need a meeting area, storage room, or AV screen
  • Brand guidelines (logo files, colours, fonts)
  • Budget range
  • Whether you need design only, design and build, or design and build plus installation

The more specific your brief, the more accurate your quote – and the faster your stand gets into production.

6. Why Printing Quality Matters as Much as Structure

The frame holds your stand up. The print quality is what visitors actually see.

Large-format graphics on an exhibition stand need to be produced at the correct resolution, on the right substrate (fabric, PVC, foamboard, ACM) and with colour calibration matched to your brand guidelines. A panel printed at low resolution looks pixelated from two metres away.

At our production facility in Ras Al Khor, we print on wide-format UV and latex machines with colour profiles matched per substrate – so your stand graphics look the way your designer intended.

Quick Checklist Before You Commit

  • Do I know the exact floor dimensions and plot type?
  • Have I checked the venue build regulations (height limits, power requirements, double-deck approval)?
  • Is my budget inclusive of graphics, lighting, and furniture?
  • Do I have print-ready artwork, or do I need design support?
  • Have I confirmed the build and breakdown schedule with the organiser?
  • Is the stand builder experienced with this specific venue?
